Meeting Planner Job Lead in Washington, DC

A friend of mine in DC gave me the heads up of a job opening for a meeting planner type position with a firm called Potomac Management, a reputable meeting planning organization we have interacted with in the past. Thought I would pass it along to those who are interested.

Job Description—Account Coordinator

Coordinators manage the customer service aspects of client contracts. They are responsible for the administrative functions regarding membership, programs, fundraising, communications, and events. Account Coordinators report to the Account Director for each client and work to ensure that assigned tasks are completed properly and on time.Supports Account Director and client membership Reports to Account Director Responsibilities include, but not limited to:General• Answering phone lines (PMR and all clients)• Attend staff meetings• Maintain organized filing system• Effectively communicate project status with other team members• Complete special projects as assigned Administrative• Maintain organization of client filing system (email and hard copy)• Attend Board meetings, as needed• Maintain a master task calendar for client(s)Communications• Monitor/respond to client mail and email; forward relevant emails to other staff for follow up• Provide customer service to members via phone and email• Support outreach to members via email updates and newsletters• Maintain client websites Financial • Respond to requests for taxpayer ID numbers • Generate and track outgoing invoices• Prepare check deposit and credit card reports Membership• Respond to membership inquiries• Work with Account Director to build membership, increase prospects• Coordinate special client programs, mentor programs, career days, sponsor appreciation, recruitment campaigns, etc. Serve as liaison with Committee chairs and organizers.Events• In conjunction with client/Account Director/Event Director: Develop and monitor event budgets (including establishing registration fees) Develop and monitor event time lines Prepare for monthly programs (luncheons and evenings), workshops and networking events, coordinate on-site registration• Maintain a master calendar of events for each client• Attend programs: liaison with speaker, Board, and members• Assist in coordinating logistics associated with Board meetings/retreats Qualifications• Bachelor’s degree• 0-1 years experience in field• Experience in an association or customer service oriented position.• Database entry and reporting and mail merge experience required• Demonstrated expertise in Microsoft Office Applications, specifically Word, Excel, PowerPoint, and Outlook• Excellent written and oral communication skills• Excellent typing skills• Organized, high level attention to detail• Ability to work concurrently on multiple tasks and meet required deadlines• Professionalism and strong work ethic• Capacity to work in a team environment Other Information• Client events are held in the evenings and occasionally on weekends; local travel required• No relocation costs paid Benefits• Medical/dental/eye plan• Professional development opportunities• Membership dues paid for industry associations• Vacation and sick leave• Comp time for required weekend hours• Casual office atmosphere• Old Town Alexandria office location Salary• $32,000-$35,000, depending on experience Submit resume and cover letter to jobs@potomacmanagementresources.com.
